About the role

Endeavor Ukraine is looking for a sharp, organized, and proactive Operations & Projects Manager. You'll own the threads that hold everything together – financial tracking, vendor coordination, project timelines, event logistics, and the things that don't fit neatly into any category. This role suits someone who finds satisfaction in building structure, finishing things properly, and raising the standard of whatever they touch.

What you'll do

Operational core (40%)

• Run day-to-day operations: financial tracking, travel setup, payments & legal support

• Support and coordinate contractor relations (including legal, financial, accounting, design, travel etc)

• Own subscriptions, tools, and internal systems (Notion, Google Workspace, productivity tools, CRM) – ensuring the team has what it needs and everything is up to date

• Support budgeting, expense management, and financial reporting

• Support HR, onboarding, and team administration activities

Project Management & Operating System (30%)

• Support Endeavor Ukraine's operating system – ensuring clarity of ownership, timelines, and deliverables across all workstreams

• Implement and manage RACI frameworks (or alternative) across entrepreneur experience activities, events, partnerships, and special projects

• Track project milestones, flag risks early, and drive accountability across the team

• Coordinate cross-functional initiatives and ensure alignment with Endeavor Global and local offices worldwide

• Prepare status updates, dashboards, and reports for the Managing Director and board

Events & Special Projects Support (20%)

• Provide operational and logistical support for Endeavor Ukraine events and programming in Ukraine, abroad and online

• Support event budgets, vendor coordination, travel logistics

• Support execution of strategic initiatives as they arise (CRM migration, partnerships, new programs)

Team Operations & Culture (10%)

• Help build and maintain internal processes that enable a high-performing, well-organized team

• Coordinate team onboarding, offsites, and internal communications

• Support the Managing Director on ad-hoc strategic and administrative priorities

What We're Looking For

Must-Have

• Genuine excitement about entrepreneurship and the tech ecosystem

• 3-5+ years of hands-on experience in operations, project management, consulting, or a role where you were the person holding many threads at once

• Sharp organizational instincts and an eye for detail that others walk past

• Strong project management skills – juggling multiple workstreams and deadlines

• Fluent in Ukrainian and English at C1 or above – written, spoken, and strategically. You know how to read the audience and adjust your tone accordingly

• AI is part of how you think, not just how you work – you reach for Claude and similar tools to sharpen your reasoning, tighten your communication, and get more out of every task

• You're at peace with repetitive work – and enjoy making it better – faster, smarter, more elegant

• Hands-on experience with budgets, contracts, and vendor relationships that run smoothly

• Proficiency with productivity and project management toolkit: Notion, Google Workspace, Slack

Nice-to-Have:

• Background in a tech company or fast-moving organization where things changed faster than the docs could keep up

• You notice the last 5% – the detail no one else caught, the touch that makes something feel finished

• You lean forward anticipating problems and designing fixes

• Ambiguity doesn't freeze you and you enjoy building structure

• Finance or operations management experience is a plus
