HR and Operations Manager

Reports to: Endeavor Philippines Managing Director/Operations Sr. Manager
The Opportunity:
Endeavor Philippines is looking for an organized, detail-oriented, and proactive HR and Operations Manager to provide high-level administrative, operational, board, and HR support to the Managing Director.
The successful candidate will also play a crucial role in empowering the Managing Director to focus on strategic priorities by managing day-to-day tasks, facilitating communication, ensuring operational efficiency, supporting board governance requirements, and assisting in HR processes.
Responsibilities:

Human Resources Management
Performance Management: Lead and coordinate performance review cycles, documentation, evaluation tracking, and follow-ups. Ensure alignment with organizational goals and timelines.
Compensation & Benefits Administration: Oversee payroll coordination, benefits administration, leave tracking, government-mandated contributions, and benefits enrollment processes. Ensure compliance with internal policies and Philippine labor regulations.
HR Documentation & Records: Maintain accurate and confidential employee records, contracts, and HR files (digital and physical).
Policy & Compliance: Support the development, updating, and implementation of HR policies. Ensure compliance with labor laws and internal governance standards.
Employee Lifecycle Support: Coordinate onboarding, offboarding, and employee documentation processes.
Office Management
Office Lease & Membership Management: Oversee office lease coordination, renewals, and workspace memberships.
Inventory & Asset Management (Including Equipment): Maintain tracking systems for office equipment, supplies, and assets. Ensure accountability and proper documentation.
Vendor Management: Manage vendor relationships, contracts, renewals, and service agreements. Monitor performance and compliance with agreed terms.
File & Records Management: Maintain structured and secure digital and physical filing systems across operational and administrative documents.
Corporate Governance & Board Support
Board & Shareholder Meetings: Coordinate annual and quarterly meetings, including scheduling, documentation, and material preparation.
Board Documentation Management: Maintain and organize board records, minutes, and official documentation.
Board Resolutions & Secretary’s Certificates: Prepare, process, and safekeep official resolutions and corporate documents.
SEC Mandates & Submissions: Ensure timely compliance with SEC filings and corporate governance requirements.
Executive & Administrative Support
Calendar Management: Manage the Managing Director’s schedule, including meetings, appointments, travel, and prioritization of engagements.
Meeting Coordination: Organize and prepare materials for meetings, ensuring timely distribution of agendas, minutes, and documentation.
Communication Liaison: Serve as the first point of contact for internal and external communication related to the Managing Director, including correspondence, emails, and calls.
Document Management: Maintain and organize official documents, reports, and confidential records.
Expense Management: Track and manage expenses, prepare reports, and ensure compliance with organizational policies.
Event Planning: Assist in planning and coordinating corporate events, conferences, and special meetings involving the Managing Director.
Collaboration: Work closely with team members and executive assistants to ensure seamless coordination.
Family Assistance: Assist the Managing Director and their family with administrative needs, including document handling and schedule coordination.
Qualifications:
5+ years of experience in HR, operations, executive support, or related roles.
Experience in performance management and compensation administration is a plus.
Familiarity with Philippine labor law and SEC compliance is a strong advantage.
Strong organizational, documentation, and systems-thinking skills.
High attention to detail and ability to manage multiple priorities simultaneously.
Excellent written and verbal communication skills.
Proficiency in Google Workspace, Microsoft Office, and collaboration tools (e.g., Zoom).
High discretion and integrity when handling confidential information.
Experience working with senior leadership or board-level stakeholders is required.
